CSA Membership 101

 
 

Seminary Hill Farm understands that every household has different preferences when it comes to the seasonal ingredients prepared in their kitchens so we have partnered with the software developing team at Harvie to offer fully customizable CSA shares for our members. Each week, our CSA members can personalize the contents of their CSA share by swapping out items based on what is going to be harvested from the farm that week. You can also select your preferred payment plan, place your CSA membership on hold and update your account settings.

We have put together a quick list of FAQ’s the team at Harvie has pulled together that we think will be helpful for many of our members. Have more questions? Signing Up with Harvie


To Access Your Harvie Account

  1. Log into your Harvie account at www.harvie.farm/login

  2. Your username is just the email address you used to sign up.  You would have selected a password when creating your account. If you don't remember your password, simply click the "forgot password" link on the login page to reset.

  3. Once logged in, the screen should default to displaying some of your basic profile information, a link to your farm's profile, your payment information and information on your next pickup.  Along the left side of the screen will be the main menu where you can view your orders, your product preferences, past boxes and future deliveries.

 

To Edit Your Harvie Profile

If you need to update your profile information including your name, email address, phone number, address, password or auto-renew preferences, follow the instructions below.

1. If you are not already logged in, go to www.harvie.farm/login and login.  This should bring you to the main profile page.  If you are already logged in but not on the profile page, click the "My Profile" option in the side menu.

2. Scroll to the bottom of the profile page and click the "Edit Profile" button.

3. Update any information in the fields provided.

4. Click "Save Profile Information"

 

How Does the Payment Plan Work?

You’ll choose your payment option when you check out. You can choose to either pay in full or set up a payment plan.

Here is how the payment plan works:

  • At the time of sign up, you will pay 25% of the invoice total.

  • The first week of deliveries, you will pay an additional 25% of the invoice total + the remaining 50% balance on the first delivery box amount.

  • For the rest of the season you will pay the remaining 50% due for each delivery's share(s)

For example, if the individual share price is $15/each and you have 20 deliveries,  your invoice total would be $300 and you would pay:

  • AT SIGN UP - $75 (25%)

  • FIRST DELIVERY - $75 (25%) + $7.50 (50% of the individual share amount)

  • AT EACH DELIVERY - $7.50 per delivery at each of the remaining 19 deliveries

  • Total Paid = $300

 

Here is How Customization Works:

·         24-48 hours before your box gets delivered, you’ll receive an email that tells you what will be coming in your farm share.

·         To swap items to customize, follow these notes:

  • Click the link provided in your email and this will take you to the swap page.

  • Click the following link to watch a tutorial

 
  • You can keep track of the swaps in the left hand corner called “Swap Summary”

  • Remember, if you receive extra swap charges on your account here is why:

  • Each box has a target value and all the items available have values assigned to them. If you swap out a low value item for a higher value item, it is possible that your overall box value will exceed the original target value. The swap summary will show any changes you made and will display any additional costs associated with these changes. If you don't want to pay the additional cost, you'll want to reverse the change. Otherwise any extra costs will be charged against your credit card on file.

 

How do Extras Work?

Q: What are extras?

Extras are additional a la carte items you can add to your farm share when you customize your delivery.

 

Q: When do I get charged?

Extras will be charged to your card at the time of delivery finalization. If you’re on the payment plan, the extras amount will be added to your normal delivery charge. If you’ve paid in full, the extras charge will be a separate charge at the time of delivery.

 

Q: How does it work?

When you receive your customization email, click on the text that says “If you like, you may swap any of these items out of your box.”

At the bottom of the box swap page, there is a Purchase Extras button which will take you to the Extras ordering page. Click on it once you’re done swapping items in and out of your box.

From here, you can add items to your order. A few notes:

  • If you don’t want to add extras to your order, simply click No Extras for Me, Thanks at the bottom of the screen.

  • You can add any number of extras, up to the inventory entered by your farmer.

  • Extras save as you add them to your account. If you exit the page, the extras you have ordered will be applied to your delivery.

  • When there are fewer than 10 of a given product available, the button turns yellow and alerts you to how many are left.

  • If you’d like to view your complete delivery, including extras, click Review Extras Order

 

How to Change a Delivery Date

Changing a delivery date simply reschedules your delivery. It remains at the same pickup location but just on a different week.  Your payment will be moved accordingly.

  1. Log into your Harvie account at www.harvie.farm/login

  2. Click My Deliveries

  3. Click Change Date next to the delivery you wish to adjust.

  4. Click the Date Box and choose the new date to reschedule.

  5. Click "Save new date" button to complete

 

How to Change a Delivery Location

Changing a delivery location allows you to pickup at another location.  You can make this change within the same week as the original delivery or can move it to another available week.  Your payment will be moved accordingly.

 

  1. Log into your Harvie account at www.harvie.farm/login

  2. Click My Deliveries

  3. Click Change Location

  4. From the dropdown menu, select the new location you want to pickup at and click the "save pickup location" button.

  5. On the next screen the date field will default to the same week as your current box.  If you'd like to move to a different week, click the Date Box and choose date to reschedule.

  6. Click "save new date" button to complete.

 

How to Place a Delivery on Hold

Placing a “hold” on your delivery will result in forfeiting that box for the week and no additional payment will be charged to your card for that held share.  You are limited to three holds per year.  It is preferred that you either change the delivery date or location rather than just putting your box on hold.  Held boxes can be re-scheduled with assistance from Harvie Support.

  1. Log into your Harvie account at www.harvie.farm/login

  2. Click My Deliveries

  3. Choose the delivery you want to hold and click Hold

  4. If you change your mind within the allowed time period, just log back in and click Stop Hold.

Past holds can still be rescheduled but require assistance from Harvie Support.  Contact support@harvie.farm with details on the hold you want rescheduled and the new date you would like to receive that share.

These changes need to be made prior to your farmer creating your box estimate for that delivery.   Once your farmer has created your box and you've received your weekly email telling you that you have a box to customize, you'll have one last chance to cancel or re-schedule your box.  This option will be included on the box customization page when you login.  For more information on that option, click here.

 

To Update your Payment Information on File:

  1. Log into your Harvie account at www.harvie.farm/login

  2. Click My Profile

  3. To the right of Card Details, click View and Modify

  4. Click Add new card and enter card details

  5. Click Add Card

 

Cancelling/Rescheduling your CSA Share After It Has Already Been Created:

There will come times that you'll receive your weekly "It's time to customize your Harvie box" email and you'll suddenly realize "Oh no!  I won't be available to pick up my box this week."  Don't fear - you still can reschedule your box or put it on hold.

Log into your account and you'll see the yellow bar across the profile alerting you that you have a box available for customization.  Click the link to go to the box customization page.

Now at the top of that screen in the same yellow bar you should see a message saying "Can't pick up your box this day?  No problem.  Click here to clear it out and reschedule it."

After you click that link you'll be shown the following screen:

On this screen you can choose which future day you'd like to pick up your box (this will only allow you to move the box to future options at your current location).  Or if you'd prefer to simply forfeit the current box, you can click the checkbox for "do not reschedule".  Once you've made your choices, click the "Cancel my box" button to complete the cancellation/rescheduling of the box.
